Prickett Vacation Rentals
 
 
We’re committed to providing excellent service to both our guests and property owners. Please reach out with any questions or special requests. We look forward to welcoming you as a Prickett Properties, LLC guest.

Payment Authorization 
By providing payment information, you authorize Prickett Properties to charge the credit card(s) on file or invoice you for payments related to your reservation. The person signing this agreement is considered the primary guest, and will be the person responsible for any additional charges as outlined below. This authorization may be signed electronically and is legally binding.

If your reservation was made through a third-party platform (e.g., VRBO), and your payment information was not shared with us, an invoice will be sent for your initial and final payments. (Book directly at prickettproperties.com to avoid VRBO/HomeAway fees.)

This authorization remains valid until 45 days after your departure. You also authorize us to charge for:

- Unauthorized long-distance or satellite TV charges  
- Damages beyond normal wear and tear  
- Excessive cleaning  
- Late check-out fees  
- Other violations outlined in this agreement  

If no credit card is on file, charges will be invoiced and must be paid immediately.

Payment Terms 

Condos 
- More than 30 days in advance: 30% deposit due at booking; balance due 30 days before arrival.  
- Within 30 days: Full payment is due at booking.

Homes & Duplexes 
- More than 60 days in advance: 30% deposit due at booking; balance due 60 days before arrival.  
- Within 60 days: Full payment is due at booking.

Monthly Rentals
- Full payment is due 60 days before arrival.  
- Cancellations after this date forfeit all payments.

Checks must arrive by the due date and include your reservation number. If mailing a check, notify us to avoid automatic card charges.

We also accept payment by credit cards, debit cards, and e-checks. 

*Note: The initial payment is non-refundable and part of the reservation total. If your total is under $500, full payment is due at booking.*

Arrival & Departure  

Once your final balance is paid and the agreement is signed, a welcome email will be sent with property info, entry instructions, parking details, and more.  You may also receive this information via our guest app, Happy Stays. We send email communication regarding access to Happy Stays.

Most guests go directly to the property. Exceptions (e.g., Caribe) require key pickup at our office.

- Check-in: 4:00 PM 
- Check-out: 10:00 AM  

Late check-outs may incur a $100/hour fee (maximum: one full day).  
Please notify us if checking out early — housekeeping appreciates the extra time.

Departure Checklist  
- Dispose of food  
- Take out trash  
- Place towels on bathroom floors  
- Leave linens on beds  
- Lock all windows and doors  
- Check for personal items  

We are not responsible for items left behind. If located, items can be returned at the guest’s expense. 

Cancellation Policy 

To receive a refund of your 30% deposit:

- Condos: Cancel at least 30 days before arrival (60 days for monthly rentals)  
- Homes/Duplexes: Cancel at least 60 days before arrival

After the deadline, all payments are non-refundable. We cannot switch dates or properties due to individual ownership. No refunds for early departures.

Our cancellation policy does not cover illness, weather, or emergencies. We strongly recommend travel insurance.

Unforeseen Circumstances 

Prickett Properties will not assume liability for any loss, damage, or inconvenience caused by, but not limited to, the following: weather conditions, natural disasters, pests, construction, acts of God, or other reasons beyond its control. There shall be no refunds available as such instances are beyond the control of Management. It is highly recommended that Guest considers travel and/or rental insurance.

Travel Insurance 

Travel insurance through Rental Guardian is available and recommended to cover unexpected events.  It can be added by phone at booking or before check-in.

Property Orientation 

Prickett Properties makes every attempt to state each property's orientation to the water clearly, so please carefully review the property information page when making your reservation. The property is not Gulf Front and/or Beachfront unless the website specifically states so. Guests are responsible for making sure they are satisfied with the property's location prior to making a reservation.

Parking 

The guests must confirm the parking space limits before making a reservation. We do not allow the parking of RVs, trailers, and/or boats. 

Condos

Most condos allow up to 2 parking spots per condo, as that was the city building code minimum requirement. There are exceptions, such as Island Winds East #111 and Phoenix 3 3097, which only allow 1 parking spot per condo. Also, some condos require the guest to purchase the parking pass on-site at the time of check-in. In those cases, the parking fee is paid directly to the HOA and is not included in the total paid to Prickett Properties. 

Parking for Beach Houses/Townhouses

On-street parking and/or parking in the setbacks is not allowed.

Amenity Availability 

Amenity availability cannot be guaranteed. The Homeowners’ Associations manage community amenities and are not the responsibility of Prickett Properties, LLC.  We will do our best to notify the guest of any amenity closure. However, non-working or closed amenities are not grounds for refunds or discounts.

Furnishings 

Our accommodations are completely furnished, including kitchen utensils and flatware. Bed linens, blankets, pillows, towels, and a starter supply of soap and bathroom tissue are provided. We highly recommend you consider bringing additional supplies to meet your individual needs. Washers and dryers are provided in all properties for your convenience and include a starter set of detergent.

All rental properties and units are individually owned and operated. Prickett Properties, LLC does not own, control, maintain, or otherwise manage any aspects or modifications to aspects of the rental properties and individually-owned units and cannot guarantee or represent the standards and appearance maintained within the individual units. Décor, style, color schemes, furniture, and inventory vary since properties are individually owned. Some internet photos may differ due to owner updates or changes.

System Failures 

In the event the rental unit sustains a failure of a system, including but not limited to internet, cable, water, sewer, septic, electrical, gas, plumbing, mechanical, appliances, heat pump, ventilating, pool, hot tub or other system or structural systems, neither the property owner nor the Management shall be liable to Guest for damages. No refunds will be given for such failures. However, Management will try to repair or replace the failed system or equipment promptly. In such an event, Guest agrees to permit Manager or its service provider to have reasonable access to the property to inspect and make such repairs.

Property Showings & Construction 

- Some properties may be shown to buyers; we’ll coordinate with you if needed  
- Construction may occur nearby without notice; no refunds for disruptions  

Cleanliness & Pest Control 

Prickett Properties strives to maintain the highest cleanliness and pest control standards in all rental properties. Despite our best efforts, issues may occasionally arise. It is the Guest's responsibility to notify us immediately of any cleanliness concerns or pest issues upon arrival. We will promptly dispatch cleaning or pest control services to address the problem. However, please be advised that no refunds or rate adjustments will be issued for such occurrences.

Liability Waiver 

Tenant agrees to indemnify, defend, and hold harmless Prickett Properties, LLC, and the property owner, their agents, employees, and contractors, from any claims, damages, liabilities, costs, and expenses (including reasonable attorney’s fees) arising out of or related to Tenant’s occupancy of the rental property, including but not limited to personal injury, property damage, loss, or theft, whether arising from negligence, accident, act of God, or any other cause. This indemnification applies to all guests, invitees, or others the Tenant permits on the property. The Tenant assumes all risk associated with using the premises and the facilities provided, including but not limited to balconies, pools, and other amenities.

Pool Use 

Tenant acknowledges that the pool at the rental property presents significant risks of personal injury, property damage, and death, particularly for children. The following conditions apply:

1. Supervision Requirement: Children are not allowed to enter, use, or have access to the pool without continuous adult supervision. The Tenant agrees to ensure that a responsible adult supervises children at all times when near or in the pool.

2. Prohibited Activities: No diving or jumping into the pool is permitted by any person. Tenant and all guests agree to refrain from any activities that could increase the risk of injury.

3. Assumption of Risk: The Tenant accepts all risks associated with the use of the pool and agrees to take all reasonable measures to ensure the safety of all occupants, including children, guests, invitees, and agents, from injury or loss.

4. Release of Liability: Tenant agrees to release, waive, discharge, and covenant not to sue Prickett Properties, LLC, or the property owner for any injury, death, or property damage arising out of or related to the use of the pool.

5. Additional Pool Safety Measures: The Tenant is responsible for ensuring that any safety measures provided (such as pool covers, gates, or alarms) are utilized properly during their stay. 

Unavailability 

If the premises become unavailable for any reason beyond the control of Management, Management may substitute a comparable unit or cancel this Agreement and refund in full all payments made by the Guest.

Lost or Left Items 

Prickett Properties assumes no responsibility for lost, stolen or abandoned items. Reasonable effort will be made to contact the Guest for return if found. The Guest will be responsible for the shipping costs returned at Guest’s request. Management shall not be held liable for condition of said items. Any items not claimed for longer than 30 days, may be donated or sold.
